1. The ACFC

serves the Filipino Catholic community in the Auckland region, offering Mass, sacraments, ministries and community events in partnership with the Catholic Diocese of Auckland, local parishes, and devotional and faith groups and communities.

For the purposes of the Privacy Act 2020, ACFC is the agency responsible for personal information collected through this website.

2. Information we collect

We only collect what we need to run the chaplaincy and keep our community informed. Depending on how you interact with us, this may include:

Your Personal Contact details - such as your name, email address, phone number and parish/area, when you enquire, register as a member, or sign up for a ministry, event or newsletter.

Liturgical Ministry and Volunteer information - role preferences, availability, and safeguarding-related information (such as Safechurch/Tikanga Haumaru training records) for those serving in liturgical or pastoral ministries.

Mass and Sacrament Requests - details you provide when requesting a Mass intention, or registering for baptism, wedding, or other sacramental preparation.

Communications, such as community news and notices - messages you send us by email, contact form, or social media, and any information you choose to include in them.

Website usage information - basic, aggregated technical data (such as browser type and pages visited) if we use privacy-friendly analytics to understand how the site is used. We do not use this information to identify individual visitors.

3. How we use your information

We use personal information to:

Communicate with you about Masses, events, ministries and parish news you've asked to receive.

Coordinate volunteers and ministry rosters, including meeting our safeguarding obligations under (Tikanga Haumaru) / Safechurch.

Administer or Manage Mass intentions and sacramental preparation requests.

Respond to enquiries sent through the Website, Official Social Media Accounts, or by Email.

Maintain the security and proper functioning of the website.

Meet legal, canonical, or reporting obligations, including those owed to the Catholic Diocese of Auckland and/or to NZ Charitable Commission.

We do not sell personal information, and we do not use it for third-party advertising.

4. Who we share information with

We only share personal information where necessary, including with:

The Catholic Diocese of Auckland and relevant parishes, for sacramental records, safeguarding, and pastoral coordination.

The National Office for Professional Standards (NOPS), where required for safeguarding compliance.

Service providers who host or support this website and our email communications, under obligations to protect your information and use it only for the services they provide us.

Government agencies or authorities, where required by law.

Without your written consent, we are obligated to safeguard your personal information and have it only available for the specified time and purpose.

1. All collected Personal Information must be done using Approved Tools and Methods provided by the Chaplaincy using Official ACFC accounts and platforms/applications provided. Approved tools must contain the following data collectors and the list of people or groups who are going to access any collected information.

2. Children's information - Our Children's Ministry programmes are run with the knowledge and consent of a parent or guardian. We collect only the information needed to run the programme safely (such as a child's name, age, and emergency contact details) and it is handled with the same care as all other personal information, consistent with our safeguarding commitments.

3. Cookies - This website may use a small number of essential cookies needed for it to function correctly. If we introduce analytics or other non-essential cookies in future, we will update this policy accordingly.

4. Data retention - We keep personal information only for as long as it's needed for the purpose it was collected, or as required by law, canon law, or Diocesan record-keeping requirements (for example, sacramental registers, which the Church retains permanently as a matter of canonical record).

5. Keeping your information secure - We take reasonable steps to protect personal information from loss, misuse, or unauthorised access, including limiting who has access to it. No online system can be guaranteed completely secure, but we work to keep our practices up to date.

6. Your rights - Under the Privacy Act 2020, you have the right to ask for access to the personal information we hold about you, and to ask us to correct it if it's wrong. To make a request, contact us using the details below or contact the appropriate data collector.

If you're not satisfied with how we've handled your information, you have the right to contact the Office of the Privacy Commissioner at privacy.org.nz.
